I am starting to do estate planning work and I have a question to see how other people are doing things. First, when I speak of estate planning it would involve anything from drafting Wills, Trust, Heath Care Proxies, Advance medical directives and POA. What are people doing when you have a client who wants all of these done for them? What matter type are you using? Are you using a new matter type for each of the items listed above? If doing it this way it would seem like you would be re entering info more times then not? or do you have all the above forms automated and just use one matter type? Any help suggestions and such would be greatly appreciated.

How long (on average) do you spend following up your client to send through statements and other information for financial disclosure? Have you used any software to help with this?

I have a sceretary who has access to my smokeball data.She gets copied into a lot of emails, some with attachments.I dont want to duplicate these attachments - is there a way of telling if the other user has already saved an attachment without having to open the matter?OrIs there some feature/system/”hack” which will elt the other user know its already been saved??

I know I can creat an envelope in Matters (using our template) but is there a way you can create a template to use in contacts for those who doesn’t have a matter number?  Thank you

Hi, Is there any way to add the option of where to automatically assign an email in a matter rather than directly to documents? We have a documents - correspondence - emails folder and it’s an absolute pain to have to go through each file manually, highlight all the emails in documents and then move to the specific folder. 

Is there a way to assign an email to multiple files?  Often I receive documents in a single email that belong to more than one file.   Right now I can only assign the email to one file.   How nice.  I have a typo in my first post.   

I’m entering in my client’s medical bills for each provider and I’m wondering if there’s a way to add more columns, or change the names of the columns. For example, she has a denied work comp claim, so her health insurance has paid money but she has co-pays as well. There’s no place for the Copays. 

Is there a full list of fields available somewhere, I can't find some fields required for a new precedent, but I know they exist such “Executor”, “Attorney” etcThey are not listed in the list to the right when working on the document.

Hi there, I’m curious as to how people store their non-client files in Smokeball. Such as HR records (contracts etc), staff training etc etc…Do people set these files up as non-billable? or fixed fee with $0 balance? Thank you,  Claire

We have matters that require us to keep track of income, like for Medicaid applications. Is there a matter type that includes iincome that we can add to our Medicaid Application matters so we can keep track of the income in the matter like we can do with the assets?

I can’t apply a workflow to a lead. When I click the apply workflow button, there are no workflows available, but I have created and saved a workflow which should appear there (I think).I can see the workflow if I click the same button in a matter though.Help!

How to set up file for probate where client remains with another firm.  Where we are just assisting as consultant.  So our client is the head solicitor's firm and the executor remains the client of the head solicitor’s firm.  Unable to do in Probate matter where executor is primary contact.

Hi Smokeball communityAre there any paralegals, secretaries, or personal assistants who have access to their solicitors emails. I am a personal assistant/admin for a law firm. I have my solicitors email added to my Outlook of which I filter emails and then move them to another folder for the solicitor to review. However, this is working for our firm except for it takes longer for the solicitor to access the email and it is associating within Smokeball twice, both from my SB user account and my solicitor’s SB user account, which in turn is affecting the billing process. Hoping someone has a fix please.Thanks in advance.Angie

What are we losing (efficiency, reporting details, etc.) by not using Activity types?  

How do you delete field codes in word documents?  When I trying to print envelopes, the field codes prevent me from just selecting one person - it grabs the entire group because its a automation field (parties).  So frustrating! 

I just engaged a new client who lives outside the United States, and I cannot figure out how to properly enter his foreign address into his contact information. Smokeball seems to require me to select a U.S. state and forces/fills in an erroneous U.S. county when I try to add his postal code to the system. Does anyone have any guidance on this topic?

Hey all, this is my first post ever. Don’t know if this is a proper question for this forum. But I do know smokeball is based on Chicago, and was wondering if maybe any PI attorneys in the area could recommend a doctor / chiro to send a client. He does not have any insurance available from the look of it; so it’s likely a LIEN case… 

I use Litera Compare, and there is no direct integration with Smokeball to my knowledge.  My documents by default are stored locally for offline use but I cannot find the location of the documents outside of Smokeball to run comparisons.  In the alternative, if there is a way to save a document sent outside of smokeball as a version of existing document, then I can use the version compare feature.  Is there a way to do this?

I got a new computer and now all the checks I print from Smokeball print upside down. I can insert my check upside down but the print does not line up quite right on the check. My quickbook checks print correctly, only the checks from Smokeball print upside down. I can’t find a setting for that in billing. Any suggestions? thanks!

Once a matter has been chosen and assigned, can you change the matter? I accidently converted a lead to a matter, and chose post decree rather than pre decree.

Does anyone bill clients according to who does the work? ie: Solicitor (hourly rate), paralegal (hourly rate)?if so, how much do you charge for a Paralegal?

How do I download all the picture images and voice recordings received from a client via communicate? Is there a way to download all at once?
