Hello, friends! Our firm has been using Smokeball Prosper+ since January 2025. We are looking to add HubSpot to our tech stack as CRM, and I’m coming up empty on finding any real-world users who have used the HubSpot integration with Smokeball.Can anyone give some insight to your experience? Have you been happy with it? What was your lead time from signing a contract with HubSpot to being fully operational? Is it a seamless sync to and from? I’d appreciate any feedback about how they operate in tandem.

If you change the date in the matter details, should it update the calendar automatically?

Hello All:  Our Firm uses the client portal to send documents to clients. Does anyone have any work around for firewalls that block client access? We used to be able to use this feature pretty easily, but now we are running into a host of problems with client access. Thanks

I would like to allow staff to see their own activity under the Activity view, but not see other people’s. I can’t see a setting for this - is anyone able to assist?

While the current intake form for estate planning permits two people, a couple for example, to complete separate intakes via links sent to them; the process is flawed.The first person or client to complete the intake form will have their details uploaded automatically to the ‘Wills Details’ area of Smokeball but the second person’s details are not uploaded. It also appears that the same form is use for both people which causes confusion with pre-filled data when sent to clients.I understand that the issue likely arises because the intake form does not have the capability to bifurcate when the second person’s details are entered.When will this issue be fixed or what can be done to solve this for us practitioners now.

In Wisconsin:What would the Matter Type be for:Individual At Risk Restraining Order (Individual at risk is an adult)The Order of Protection Category shows only for Child.Any help would be greatly appreciated. 

Good morning,   I am looking for feedback from attorneys who have used reception services that intergrate with smokeball like Clerx, answering legal, Lex, etc.  Small firm with two poeple but would really like a system that gets all the detail in a lead, schedules call backs, fills in the data, and really gets the info we need from the lead.  

I need to look at other user’s calendars to determine if they are free for an appointment before scheduling.  Am I able to view other calendars in smokeball?  i see a list of calendars on the left side margin but when I check one it doesn’t show me their calendar.

I have what I think is a robust tech stack. But it never seems to be enough and not everything integrates. I want to create some tech that can either integrate with most or allof the systems I have or have some discussions on what is too much and what I actually need. I know sometimes too much tech can hinder instead of help. Smokeball is my primary CRM and case manangement system, but because of the API, is understandably the trigger for a lot, but not necessarily the receiver for actions.I practice residential and commercial real estate, probate, and estate planning. Anyone up for a conversation?

Hello, we pay most of our disbursements via credit card and would like these to be integrated with xero. I can see we can setup up office payments by cheque - can we also do this by credit card?

We have this case on flat fee. The case is set up properly. Yet for some reason, SOME time entries still get entered as hourly rates. The rates are inconsistent and make no sense. There is no pattern to this. This happens for different staff members and cases, all at random. This continues to be a significant problem. I’ve submitted tickets on this before. Your system is causing us to waste our time having to go through each individual time entry and change the billing rate. Allow us to bulk edit time entries. Fix the issue

Smokeball’s customer support is absolutely garbage. It takes days for them to respond, they definitely don’t seem to care about their customers or their happiness, and circumvent the questions presented. I’m not sure I could be more disappointed with Smokeball--despite really liking their product. 

Is there any time frame for moving from Windows to the online version that integrates with apps and tracks time?  I know you are not working on Mac integration, but it would be so much better if I could get rid of Parallels.  Everything that touches Microsoft has the Bill Gates auto-crash feature built-in and I simply cannot keep dealing with the antiquated processes and crashes with Windows.  it is a waste of time and I am done researching how to get around the latest bug between Windows, Parallels, and Mac.  Even the PC that one attorney uses crashes regularly because it is Windows.  It seems there are a lot of other options that do not require Windows and that do what Smokeball does, including time tracking, which was Smokeball’s biggest advantage before now.

Is there a way to automate appointments to send reminders to clients the day before their appointment? I see where you can set reminders for your office staff, but is there a way to automate reminders to the actual client for each appointment?

What is the best practices for the date field in templates?  Is it best to use MS Word, date, and have it un-checked for automatic updates?  Or  use Smokeball Document creation date, or Today - Current Date (for PDF)? The issue comes if the document was created, and date is populated, and saved.  If the document is opened at a later date or printed only to be viewed the date updates to the date of the printing or viewing.   

We are just going to move across to Smokeball in April. Anyone have any suggestions concerning the best way to walk through the transition from our old system to using Smokeball? Our areas of practice as property and private client matters.

As predicted, when we lost the autosave of invoice function last month, paralegal staff (who don’t have billing permission/access), now constantly ask for copies of invoices, ask if client X paid for A, B, or C, etc. They need this information to close estates, settle divorces, commence flat fee matters, etc.https://community.smokeball.com/general%2Dq%2Da%2D7/retiring%2Dautomatic%2Dinvoice%2Dsaving%2Dto%2Ddocument%2Dfolder%2Dnot%2Dgood%2D2999We’re still looking/waiting for the billing widget (available to all) to add a “paid” line, but is there some limited view-only access to the billing function we can enable for paralegal staff?  I don’t see it.  My understanding is that access billing is all or nothing. Should there be a limited access, best case it would be ‘view only’, not allowing, for example, creating invoices, deleting payments, transferring Trust monies, etc. I’ll put in a feature suggestion...

We’re exploring options to integrate a phone system with Smokeball. Ideally, we’d like call transcripts to automatically link to the appropriate matter when there’s a phone number match and be saved as a memo. We’re looking for the same functionality with text messaging.Can you share your experience with the available options? From what we’ve seen, RingCentral and VXT appear to be the main integrations, but it seems RingCentral may not currently support these capabilities. Are we understanding that correctly? 

I have learned that Infotrack no longer handles e-filing.  Is there any integration with other services???

I using infotrack all the time. It automatically makes all contacts associated with a matter available for inclusion. When my paralegal creates an info track e-signature document, she has to manually input email addresses and names - even for me. Is that normal and working as intended?

Has anyone used EDEXIS as an integration?  If so, what have you liked and disliked about it?
