Smokeball Q&A and Feedback

Hello all, we have been using the widgets notes to keep key information on client cases easily accessible but have realized that someone on our team (who cannot access the Smokeball app) isn’t seeing these notes because she has to use the browser version (she is remote and the app is not supported in her area). Is there a fix for this or something on our end we can turn on so she sees these in the browser version as well?

Are there are any attorneys here in Colorado who handle probate or real estate matters? Have a Texas client going through probate with property in Colorado, and will likely need assistance with ancillary probate in Colorado and property deed.

Does the client still have access to the client portal messages and documents after their matter is closed?

I’m a new user.Is there a way to enlarge or zoom a dashboard for a visually impaired user?  So far it looks like I can only add/remove items from my dashboard, but I cannot make the font larger or increase the contrast.Edited to add, I think the solution is to set my computer system to display everything in larger font, but that is not always desirable so please let me know if I’ve missed something.  Thanks!

Is there a way to create a task from an email?  95% of my tasks for myself and my staff come from email.  Going back and forth can be a bit of a pain.  There is a way to make tasks off of email for Outlook.  Is there a way to create a task from an email - i.e. draft response to email, create task, hit send.  Email goes to file and task created.   Along with finally doing something about a Service tab for more than one defendant (or, my practice, 10+), this would be life changing.

I am trying to use Arche to summarize medical documents.  There are 10 PDFs, all well within the Archie size limits & I keep getting the following message: Archie cannot answer questions in .25 files.  Please choose another file.Any ideas what is wrong?

I accidentally added a memo Heading I do not need, How can I delete this one, thanks

SB support tells me I can’t move time entries in bulk to another matter - has anyone else had this issue.  I have to go into every entry and change the matter number.   I have $15k of time to move.  😥

Is there a quick way to find details for your individual client success manager

By now you’ve no doubt seen the brand new gradient and logo that is part of our spiffy brand refresh. As we continue to grow and serve our firms, the refresh continues to orient us to our north star: making your difficult jobs as legal professionals easier and more efficient, so you can focus on what really matters.“What really matters” is widely encompassing on purpose, of course, but if you know nothing about Smokeball, you know that we love getting granular and into the nitty gritty. We thought about this for many, many months, and across three whole continents, to boot. For us, what really matters is:the work you do for clients that leads to beneficial dispositions having time to connect with your clients being able to rest, so you can better keep devoting your best self to your family, friends, and community practicing securely and ethically continuing to learn (like from our CLEs!) so that you can keep refining your craft and growing as an attorney When we thought of all of that

HiI have produced LPA drafts through Smokeball which are in pdf format.  I would like to add a ‘DRAFT’ watermark to the drafts - similar to word documents - does anyone know how to do this?TIA

As per subject line, can we see who voided an invoice? I see who and when it was finalized and when voided but trying to figure out who did it...

is there an option to close multiple leads at a time, i do not use the in built form or intake but manually add leads into the file and via zapier. Is there a way to select a bulk action to close the leads rather that 1 by 1.

I have tried to begin using Smokeball but got frustrated several weeks ago.  I came back today and found it even more difficult than  I did in the spring.  How can I learn how to use it?

I created a final invoice for 1/1/26-6/1/26. It remains unpaid. Am I able to void and create a new invoice from 1/1/26-current?

Is there a way to send out an email to all of the clients that are managed by one case manager?

I am in SB looking at a mess of emails imported from a thumb drive provided by client.  Many have attachments, but I cannot view the attachments unless I click on each email.  Is there a way attachments can be shown under the email?  I was thought maybe there was, but perhaps the problem is that these emails were imported and not created by me in my file or outlook integration.I was thrilled to see I could select the whole batch and make a single PDF, but it does not seem to capture the attachments when I do this.  I thought maybe that was because I cannot see them without opening the email.  It’s late, but hopefully someone understands what I am looking to do.  Perhaps a separate tool is needed?

Is there a way to bill for emails sent after the fact? I have a bunch of emails in a matter that I forgot to assign to Smokeball and did a bulk assignment from Outlook. Is there any way to bill for those emails at this point?  Similar question for Word documents.  Is there a way to bill for a document created after the fact?

Some of the fields that are included in the Court documents do not appear in the list of fields available to choose from - for example, I am trying to create a document that refers to Applicant and Respondent in a Family Law matter.  I can see in the field for each in the Initiating Application, but that field does not exist in the list of fields when I am creating a precedent (I have started the precedent in Family Law - Property and Children).I seem to be able to copy and paste the field from the Initiating Application precedent, but that is not an efficient way to work.  Is there a list of where all fields can be found somewhere?

When I send an email message from a matter within Smokeball, the email dumps into the general email area (this is at the bottom where all files, favorites, documents etc… are).  Is there a way to tell the program to save the email to a specific folder within the email section of that area?

I’m looking for advice on how to better streamline the Closing Statement functionality in Smokeball.Right now, I still rely on my own Excel sheets to calculate adjustments in the way that’s customary for attorneys in my area (Long Island, NY; NYC).My main challenges are: I can’t seem to change the calculation from 365 to 360 days (very minor issue) Smokeball’s rounding differs from local practice, so I end up having to calculate the adjustments separately and modify them manually. This defeats the purpose of being able to quickly balance with another attorney—bringing me right back to my customized Excel sheet. I haven’t found a way to create one fully functional Closing Statement without using multiple forms or manual edits. Ideally, I’d love to see more Smokeball template options for Closing Statements, Disbursement Sheets, and Net Funding Sheets (specific to New York and Upstate New York—though this may apply to other areas too). It would be great if these included a buyer/selle

How can I obtain a Summary of my activity since August 17 to present?

Do you find it too easy to create duplicate contacts in Smokeball? Are you struggling to identify duplicates or find yourself putting the wrong contacts onto your Matters or Invoices because there are too many “versions” of the same contact? We want to hear from you! Smokeball is currently investigating methods of tidying up pre-existing duplicate contacts and ways of making it easier to prevent their creation in the first place. If you would like to discuss this topic with the Product team, please like this post or reach out to sam.king@smokeball.com and someone will be in touch with you. Thanks!

can someone please advise if there is a way to filter the leads and matters by the type of matter. it seems odd that the system forces you to select this type at every turn but the filtering options in the list doesn’t have it as a field, am i doing something wrong ?
