Can you add more than one intake form and send multiple intake forms in the one email?

I have generated an Custom Intake forms using one of our documents which we like to get signed by our client, can you add a signing field to the intake forms or a declaration box of some sort to confirm that the information they have provided is true and correct.

How can I delete files and any backups? I am required to certify that I “deleted all materials” for a case. I am particularly interested in making a good faith effort to delete backup files.Thanks for any suggestions.Stu Weg

The new 9.2 release provides the ability to differentiate between “working” hours and “billing” hours, the latter only to appear on invoices.  Fine.  Appreciate the flexibility.However, when using Time Finder or when editing an entry made prior to the roll-out of this new feature, we have to REENTER the working hours box, as seen below outlined in red.  It won’t let us just save what’s there.  It’s an unnecessary time sink to do this across our practice.Is there a workaround?  Are we the only ones frustrated by this?  

Is there a way to print or create a table from the list of documents in a folder.  We have a Pleadings folder and am looking for a way to create a Pleadings Index. 

Has anyone set up a Smokeball matter that is just a general office/administration file where you save correspondence and other docs that are not related to a specific matter?  Does it throw out any of your reporting etc?  Failing that, where do you house all this stuff?

Since the most recent update to Smokeball, I believe that a feature that used to exist is gone. Previously, I liked to group and sort matters by stages in the main matter view before accessing a specific matter and I cannot find this feature now. How can I group matters by stage and next event date for ease of access?

Is there a way to show that a client has been sent to collections, rather than just putting a note on it.  I’m printing out a list of people who owe money and ½ have been sent to collections. I don’t want them to show on the list every time.   Same with someone who has filed bankruptcy. THANKS

Syncing outlook email with smokeball.  I was able to sync my calendar but still don’t understand how to sync email with my smokeball.  mb

How do I complete the Payments Application without a website? The form is refusing my sign up without one.

Hi all We have noticed that the Application by Surviving Proprietor (ASP / 50TLA), the Application by Legal Personal Representative (ALPR / 49TLA) and the Application to Convert a Paper Certificate of Title to an Electronic Certificate of Title (CPCT) are missing the required Certifications.  They’re possibly missing from other docs in the Court & Authority Forms/VIC Forms/LTO Forms folder, too. These certifications (sometimes there are three, sometimes four) are required by Land Use Victoria, otherwise they reject the lodgement.   Here is an example:- Certifications1.The Certifier has taken reasonable steps to verify the identity of the applicant.2.The Certifier holds a properly completed Client Authorisation for the Conveyancing Transactionincluding this Registry Instrument or Document.3.The Certifier has retained the evidence supporting this Registry Instrument or Document.4.The Certifier has taken reasonable steps to ensure that this Registry Instrument or Document iscorrect an

Do the contact tags and or matter tags that are created - are they pulled into any documentation, correspondence that is sent out to our clients or other parties.Eg - we have some separated clients that we do no want to disclose contact information to other parties and in particular their ex partners - if we create a client tag named ‘separated’, will this show up in anywhere?

I have never been able to “Finalize” an invoice in Smokeball Billing and download it to the Matter.    Is there a way?  Right now, I download to my desktop and then email myself or the client with the bill and save the attachment into the matter, but it is about three extra steps. thanks  

I have a rehire starting with our firm. She will be using the same email address as was previously assigned. How am I able to reactivate a former staff and user of Smokeball?

I am able to log into Smokeball Billing, only as far as entering email and password - 2 factor authentication is not working - am waiting for code to go to the email address provided and nothing is happening.  Please explain?!!

Is there a way to apply Trust funds to a current invoice and have the Trust Balance reduced on that particular invoice?For example, if I issue an invoice and tell it to reduce the amount due by funds held in Trust, it will do that, but in the section on the invoice that shows the Trust balance, the amount is not reduced on the current invoice.  You do not see the new Trust balance until the next invoice. 

Is there a report that can be run to show payments made for a specific matter over a specific period of time?For example, I need a list of payments made for a specific matter in 2024.  If I run either the Accounts Receivable report or an Account Statement for 1/1/24 thru today, they do not include payments for invoices issued in 2023 but paid in 2024.

How do I record a payment from Trust Account to Law Society Combined Legal Trust Account?

I have just started using smokeball's client intake forms. It looks like an awesome feature!I was wondering whether there is anywhere I can download more pre-made intake forms? For example, forms that would ask for all of the information needed to prepare court documents.

Log output from Outlook after it tries to archive the email. The memory location and encryption key is hidden.Good evening,I am having issue while trying to archive my Outlook email.  I am getting a syncing error and I have attached the photo of the log.  My guess is when the email is referenced in SB, it reaches into Outlook and pulls the information from there.  My assumption would be that the property name is for cross referencing matters to outlook items.  My reading of the log (I could be wrong) shows Outlook tries to archive the email, and it sees some kind of xml tag that associates that email with the Smokeball.ActivityTrackingId field.  This is a huge assumption here, but it seems like when Outlook (or whatever program compressing the files) sees an unknown property in the xml, Outlook does not allow the email to be archived.  I have a log file that is about 8.7k instances of this issue, and they look like they are emails related to different matters within SB itself.I am curr

This question is not directly whether Smokeball can work on her laptop. I’ve read the 2/24 update on that. Rather it’s an opinion question. I’ve hired a new assistant. Her work history is entirely in paper-based offices and I’m digital only. I’ve confirmed she’s a good, if not the quickest learner and has felt unchallenged in her past job, and is excited about learning smokeball and working in a fully digitized office and learning lots of computer stuff. But right now all she knows is Word, Excel, Outlook and Quickbooks. Yes I know that’s shocking, at least to me 🤣.She’s been working for the last 6 years on her own Apple laptop.So the question is - how difficult is it for an Apple person to sit down at a PC and start working? I know it varies, but would a windows emulator (or whatever the technical language is) that works with Smokeball on a laptop she knows be better than plopping down in front of a windows PC?

Hi,When I’ve prepared an email to send and need to select an attachment, is there anyway I can change my default to always ‘Show emails’ when the selection box appears?It’s a pain to scroll through all the documents only to find out that what I need to find is actually an email.  It would be great if I could change that to default to always show them.It doesn’t matter whether it’s a user default, or it’s system wide, my colleagues would also like the facility to make it default.If anyone knows, please share it with me.Thank you
