Is anyone else having trouble when you have multiple Prospects in a Lead and them convert to a Matter? If I have Husband and Wife as Prospect 1 and 2, when I convert the Lead to a Matter, then I have Client 1 and 2 as the same person, and a blank space for Client 3. When I add the spouse into the Matter, it them changes Clients 1 and 2 to the spouse and eliminates the other name.

I have a couple of questions for which I’ve not been able to find answers.Is there a way to write off an invoice itself? We have a few clients who are just never going to pay what they owe and the attorneys don’t want to pursue it anymore. I don’t want to void them or waive them because those are not accurate. And I really don’t want to have to go in and write off each individual entry. Is there a way to just write off the remaining balance? Is there a way to run a report that only lists write offs and the clients associated with them? I looked and I don’t see one but I’m hoping I’m just missing it. Otherwise, I’ve been instructed to create an excel spreadsheet to keep track of write offs and I really don’t need another project to keep track of. Help, please!

Can something be done to print a Task List - similar to how it appears on the screen under Tasks?  Currently, I believe the only way to print the list is to do so via the Daily Digest Dashboard.    The font in the Task for the Matter is huge, whilst the Task is small.  Very clunky,

Hi,For the first time since using Smokeball, one of our invoices did not export to Xero.Is there a way to re-send select invoices from Smokeball to Xero?

Does anyone else experience issues with reply emails coming back and not showing tagging in Outlook? So, for example, email a client from Outlook, email is sent with SB tagging (meaning, i put the matter info in the box at bottom of the email). But, sometimes, often but not all the time, the email i receive back from the client has no info in the SB box in outlook. Drives me crazy as i spend a lot of time re-tagging email threads.Curious if this happens to anyone else?

how does the time recording actually work.  if you read a case or long document and dont touch teh key board for say 30 minutes what happens?

I am able to log into Smokeball Billing, only as far as entering email and password - 2 factor authentication is not working - am waiting for code to go to the email address provided and nothing is happening.  Please explain?!!

Is there a way to apply Trust funds to a current invoice and have the Trust Balance reduced on that particular invoice?For example, if I issue an invoice and tell it to reduce the amount due by funds held in Trust, it will do that, but in the section on the invoice that shows the Trust balance, the amount is not reduced on the current invoice.  You do not see the new Trust balance until the next invoice. 

I’d like to find a report showing the complete history of days in each stage to identify bottle necks. I want to see the beginning and ending dates for every stage for matters. Is this possible?

In advance, I’m brand new - thank you for your help.  We have new leads/prospects who have not converted to a Matter.  Referral sources are added to the original entry of the new lead if available.   When I get the task to send a thank you note to the referral source, I can’t find the referral source information on the lead/prospect.   Where do I find it? 

Is there a report that can be run to show payments made for a specific matter over a specific period of time?For example, I need a list of payments made for a specific matter in 2024.  If I run either the Accounts Receivable report or an Account Statement for 1/1/24 thru today, they do not include payments for invoices issued in 2023 but paid in 2024.

I have just started using smokeball's client intake forms. It looks like an awesome feature!I was wondering whether there is anywhere I can download more pre-made intake forms? For example, forms that would ask for all of the information needed to prepare court documents.

Log output from Outlook after it tries to archive the email. The memory location and encryption key is hidden.Good evening,I am having issue while trying to archive my Outlook email.  I am getting a syncing error and I have attached the photo of the log.  My guess is when the email is referenced in SB, it reaches into Outlook and pulls the information from there.  My assumption would be that the property name is for cross referencing matters to outlook items.  My reading of the log (I could be wrong) shows Outlook tries to archive the email, and it sees some kind of xml tag that associates that email with the Smokeball.ActivityTrackingId field.  This is a huge assumption here, but it seems like when Outlook (or whatever program compressing the files) sees an unknown property in the xml, Outlook does not allow

Have a situation where a lawyer is leaving the firm with a few files. How can that lawyer download the smokeball matter or send/transfer it to a separate smokeball account? Thank you.

I am wanting to do an unbilled time and disbursement summary report instead of the full detailed report (which came out at 100 pages) but this summary report does not give the MATTER DESCRIPTION and as we have several clients with more than one file we can not see which matter the fees and disb relate to (apart from checking each file number).  Is there another report that I can do that can give me what I want - I have failed to find one so far.

Hi, does anyone know how to hide “Today’s completed hours” from Time & Fees? It takes up a lot of space and I can’t seem to find any button that enables hiding it from the side. Thanks!

One of the attorneys in our office is having an issue where she replies to a client’s email (connected to a matter), but the response that the client receives (and I am copied on) is blank. Her signature doesn’t even pop up. She had a response typed out and it was there when she hit send. I’ve seen it on two different matters so far. Any ideas? Thank you!
