Please make my fillable PDF intake sheet important data TO Smokeball fields.
I spent 35 mins. on the phone with someone, got all excited to make a Fillable Intake Form that saves to Smokeball and imports all the data into the fields. He walked me through it( after telling him what I needed) and come to find out… the information can only go the other way. I can only use Smokeball to fill documents but I cannot use Documents to fill Smokeball!!! PLEASE SOFTWARE DEV TEAM, LET ME USE MY FILLABLE PDF TO IMPORT DATA TO SMOKEBALL!
Saving statement emails in matter
We are new in Smokeball. I sent out a large batch of bills to clients and copied myself on these emails. It was my understanding that these emails, when sent, would automatically be saved into the matters for the bill recipients. I am not seeing them. Do I need to do something in set up? Am I not looking in the correct place? Do they not save automatically?
Two-Way Automated Forms
Is there the ability to make a two way automated form? The Personal Injury Client Intake Form is a great way to get basic information but I want to be able to “talk” to Smokeball so the information from the Form is uploaded. I don’t want to have manually enter the responses from the client. We used to meet face-to-face with clients and input the info to our form while talking to the person. It would be great to email the client an intake form and upload the information when it was emailed back. Thanks in advance,Andrea
Amount & Date Sung
Is there a field in Smokeball that I would be able to use to automate the amount we are suing for as well as the date of the breach. For example: YOU ARE HEREBY SUMMONED to appear in the Civil Court of the City of New York, County of Richmond, at the office of the Clerk of the said Court at 1313 Mockingbird Lane, Anywhere U.S.A. 12345 , New York, in the County of Translyvania, City and State of New York, within the time provided by law as noted below and file your answer to the complaint with the Clerk: upon your failure to answer, judgment will be taken against you for the sum of ???????, with interest thereon from the ????????????????, together with the costs, disbursements and reasonable attorney’s fees in prosecution of this action.Where the question marks are, I would like for those to be inserted in various documents but come over from Smokeball.Thank you.
How do I take a word like “demand” and have it automatically make it plural? For example, in the following document: PLEASE TAKE NOTICE, that pursuant to CPLR §3120(a), Plaintiff, BILLY RAY VALENTINE demands that Defendants', RANDOLPH DUKE and MORTIMER DUKE permit Plaintiff to read the crop report before it is released on the day of trading. ORPLEASE TAKE NOTICE, that pursuant to CPLR §3120(a), Plaintiff, BILLY RAY VALENTINE demands that Defendant, RANDOLPH DUKE permit Plaintiff to read the crop report before it is released on the day of trading.ORPLEASE TAKE NOTICE, that pursuant to CPLR §3120(a), Plaintiffs, BILLY RAY VALENTINE and LOUIS WINTHROP demands that Defendants, RANDOLPH DUKE and MORTIMER DUKE permit Plaintiff to read the crop report before it is released on the day of trading. Any ideas when SB will be available on MAC?
I asked this question over a year and a half ago and the answer was “its in the works” however still no update. Otherwise, can the online interface be expanded to include more than just billing. It would be very convenient to access everything within the cloud. The mobile app is not the best in terms of seamless functioning.
Can you please add an option to set a task to be repeatable? For example, every January 1, I need to download documentation from our state website for our best practices manual. I set a task but I can’t set it for every January 1 (as far I can tell), which means I’ll need to set a task every year. It would be great if I could set it for January 1 and repeat annually.
I am trying to customize my dashboard and for each widget I try to add I get the following message “There is no space to add this widget. Please create space on your dashboard and try again.” I have resized my current widgets. I am not sure what else to do. Is there a limit on how many widgets we can have on our dashboard?
Billing & Invoices
I love the billing system that is found within Smokeball. This feature allows me to create invoices for our clients in a very short amount of time! It is very organized and convenient. The status symbols are one of my favorite elements, however, I am suggesting a slight change to this, if possible! The invoices only have status symbols if the invoice has been emailed to the client. In our firm, while we do email some invoices, we typically upload our invoices to our clients via an online portal. When doing this the status symbol doesn’t change and doesn’t show that it has been sent/filed. I am curious if the Smokeball team could make a way for me to manually mark or track which invoices have been uploaded and/or physically mailed? This would be extremely helpful and make the billing system even better for our firm!

It looks like client on demand webinars have moved and do not appear to be available anywhere. They used to be available through the support tab. The references to webinars (it looks like they are called Events in Community) do not contain links to the on demand client webinars--at least all of the ones I tried did not work.

Can you please have all of the Separation Declarations in Family Law Financial Agreements updated in accordance with legislation to read:“OTHER PARTY NAME and I have separated and thereafter lived separately and apart for a continuous period of at least 12 months immediately before the time of signing this declaration;”
Estate administration client as beneficiary
We have situations were a member of our firm is the appointed executor of the estate (or will be the administrator of the estate). The relevant matter types in Smokeball automatically assume that the executor or administrator is the client. In these situations, it is often a beneficiary or beneficiaries who are the client for the matter and the executor is actually a member of our firm.Is it possible to create an estate probate or administration matter where a beneficiary or a number of beneficiaries are the clients?
How does everyone go through their auto time entries?
I’ve been a Smokeball user since August of 2022. One of my favorite features is the automatic time tracking. Early on, I switched from the default mode of automatically marking each entry as “billable” so that I could go through the following day and make sure I was only billing for what was appropriate and that the time involved appeared correct.I have found this review process to be unnecessarily time consuming. It involves at least three clicks where one should suffice:Click the entry Move mouse and attention over to the right-side banner Click the “billable” box Click saveI included #2 because moving a user’s focus and mouse cursor should be minimized if efficiency is the goal. What I would LOVE to have instead is the ability to directly interact with each entry in the main window itself. A single click would toggle a hovered-over entry (in the billable column) from billable to non-billable. A click into the time field would highlight that figure and allow me to manually input. Smal

Scam Solicitations on Web Contact Forms - Solutions?
This topic is tangential to Smokeball but it is law practice management / tech related. The Problem:I have used contact forms on our website for years to allow visitors to “request a consult”. In the last couple of years we have received an increasing number of scam consult requests. They have in common:Phone numbers that do not work; Unusual verbiage or stilted phrasing which suggests to me that the writer is speaking english as a second language; and, Scope of work related to large machinery/equipment/boat purchase or sale.Universally, these requests have a premise which sounds too good to be true but require them to quickly make a trust deposit by EFT and they request trust account information immediately. Previously I have screened these by asking for a valid driver’s license and working phone number. A recent scammer actually sent back what appeared to be a picture valid driver’s license but there were a number of characteristics which on close inspection did not seem genuine.Does
How do you automate adding Doe defendants to a pleading caption? For example: John Smith v. Betsy Jones, and Does 1 through 20, inclusive. Under Matter Details, we would list John Smith as the plaintiff and Betsy Jones as the defendant for inputting to our pleading caption template, but we haven’t figured out a way to add the Doe defendants without adding them as another defendant.
Introduce yourself here- March edition
It’s March and high time for a new introductions thread. Each month we create a new post to help members new and old get to know each other with some simple questions. They're designed to take less than 5 minutes to answer. Personally, I always find the answers very informative. Help us break the ice and get to know you a little better:1. What is one fiction book that you recommend everyone adds to their reading list? 2. If all goes to plan-where do you see yourself in 5 years time? 3. Everyone is talking about AI these days. Do you think AI will be a help or a hindrance to the legal profession?
