Help others: answer a question
We are an estate planning firm and we often come up with very specific clauses that we may want to use in the future. One idea that I have had is to create a form folder in SB and put the clauses there to pull in as needed. Does anybody else have another idea?I know that some like to use Quickparts in Word - but so far as I can find, there is no way to create a common place for those clauses.
We have multiple office addresses and the automation will list the assigned attorney’s name, but then the firm name and primary address. I can’t figure out how to have it fill in the address in the pleadings captions to the specific address being used by THAT attorney… help?Is that an option? If not, can it be…?
I am in the process of entering our client’s medical providers and their charges and balances. I have several providers that have balances for our client. However, when I go into the liens and balances screen, all the providers are listed as having a 0 balance. Why is the balance not pulling over to the second screen? What am I doing wrong? I’ve submitted two tickets this morning and have received no response. In reviewing the support hub, it appears that I am supposed to manually enter these balances again into the lien and balances screen. What is the point of entering these balances on the medical provider’s screen if they do not carry over? This is a complete waste of my time.
How do you unlink a word document with a Smokeball matter? For example -- my current issue is that I am exporting word documents from Smokeball to save on my local network, and the exported version still has the matter linked to it. Even if I try to save a copy of the document, the original matter is still linked, and I cannot figure out how to (1) remove the link to the original matter and/or (2) change the original matter to a different matter.
End the Week on a High Note with some Smokeball Trivia. Answer for some Smokeball Swag sent straight to you. The question this week is…….I saved a document to a matter three weeks ago in word format. I’ve probably have had 10 versions of it since then that I have saved as a separate document and just saved the original document with changes. My client came back and said they liked the original document after all. Is there a way I can view this without having to recreate it? Does Smokeball also have the ability to compare two documents?
Emails are currently saved into the main “Documents” folder. This creates a long list of emails within the folder.Is there a way to have emails save into another folder? For example, is it possible to have emails that save into a single user-created “email” folder within the main “Document” folder?
I am re-evaluating our VOIP provider. I am aware that Smokeball provides a RingCentral integration. However the support article suggests that there may be some downsides to this offering for us. If you use the RingCentral / Smokeball integration can you tell me:Are phone calls initiated from a traditional VOIP handset (as opposed to RingCentral Cell Phone App or Desktop Ringcentral click-to-call solutions) tracked to Smokeball? If you receive a phone call how do you associate it to a matter? If you initiate a phone call from a hand set then can you associate it to a matter? Are internal phone calls between RingCentral/smokeball users tracked? Example: Attorney conference calls staff for 5-10 minutes to discuss work to be performed on case. Is there a method to report phone call volume and time by user which are not tracked to matters? Billable v. non-billable phone calls? Phone calls tracked to leads?Thank you.
Hi All, If anyone out there is running Smokeball on a Surface Pro 9 5G, I would love to hear how your experience has been with the SQ3 chip. (You’re welcome to send me an email directly.) I have tried running Smokeball on a Surface Pro X which had the SQ2 chip but the emulation was too much for the chip to keep up with. Additionally, the embarrassingly low amount of RAM on the Surface Pro X made it pretty frustrating to use. Now that Microsoft has decided to stop including LTE/5G connectivity with any Intel-based Surface Pro models, we will have to choose between having a network connection or dealing with lag-ridden performance due to emulation. I am positive that at some point, Smokeball will be ported to Windows on ARM but until then -- as my kid said to Alexa, after being given the cold shoulder by the cat -- “Alexa, play sad cat music.”
Hi, We sometimes share documents in office 365 with opposing counsel and our clients. That way we can edit as we go easily. Does smokeball have a way to integrate the different versions of our word documents with 365? Or do we just have to download each version specifically before we edit further?
Hi all,I have a file clerk who scans in all papers through the scansnap scanner, which directly scans into smokeball. Her time is not being logged and accordingly billed even though she is in the smokeball environment. She creates a lot of pdfs and she is tagged as a creator, but despite working a full day today, she logged only 0.2h (because she opened two documents).How can I ensure she is being tracked appropriately on AutoTime?
With the year winding down, How do you ask for a review at the end of your matters when they reach their natural conclusion from your clients to ensure you have fresh reviews in 2022? Do you know there is a bunch of different ways you can use Smokeball to do this?Do you use workflows based off the matter closed date and templates pinned to that task in the workflow to do this as apart of your natural offboarding a matter process, ie closing out a hard file if it exists? Do you use the matter archiving report and go over it at your monthly meeting or when your run reports and look at the report to see what clients you would like to ask to give a review of your firm?Do you use matter stages, with two different stages at the end, one with a hey, thanks for enjoying our firm message if you didn't want a review, and another one asking for a review/ And if you do use this process, do you use the SMS text feature or have it send as a communicate message? It is the end of October and only 70 days left this year. At this point, the majority of your business is probably there. But how did it get there? Do you know? One of the best reports you should be using in Smokeball to plan your best 2023 when you throw on that marketing hat yourself or are talking to your marketer is the matter referrals report. What matter type was your most opened type? Who referred you the most business? Are you getting a lot more of one type of law than another and need to rebrand your firm? Hire on another staff member or associate who is an expert at that type of law? Adjust your campaign to figure out why you are getting too little of one matter type than another? Send a thank you letter and a charcuterie board and some gift cards to that old client of yours who brought you 10 cases through their word of mouth alone? This will give you the push you need on where to devote those marketing dollars in 2023 and know why you are spending them in the place you are.
I have a sceretary who has access to my smokeball data.She gets copied into a lot of emails, some with attachments.I dont want to duplicate these attachments - is there a way of telling if the other user has already saved an attachment without having to open the matter?OrIs there some feature/system/”hack” which will elt the other user know its already been saved??
There’s been a few conversations here in the community about wanting to use keyboard shortcuts or hotkeys in Smokeball to quickly get something done without extra mouse clicks. For example, CTRL+S to save CTRL+F to find something are pretty common ones in other software.We know @atharkhan would love to use keyboard shortcuts when tagging emails and @JKibler to open and save a memo. Our own @Sara Sultan loves them, and can probably teach us all a thing or two!Do you use keyboard shortcuts too?
