how does the time recording actually work. if you read a case or long document and dont touch teh key board for say 30 minutes what happens?

Smokeball Billing - 2 factor authentication

I am able to log into Smokeball Billing, only as far as entering email and password - 2 factor authentication is not working - am waiting for code to go to the email address provided and nothing is happening. Please explain?!!

Applying Trust Funds

Is there a way to apply Trust funds to a current invoice and have the Trust Balance reduced on that particular invoice? For example, if I issue an invoice and tell it to reduce the amount due by funds held in Trust, it will do that, but in the section on the invoice that shows the Trust balance, the amount is not reduced on the current invoice. You do not see the new Trust balance until the next invoice.

Smokeball on Mac Update - February 2024

Since I receive messages about this topic sporadically, I just wanted to add some updates to the original post. Smokeball does work on an M (ARM) based Mac. I do not know whether this is because Microsoft have improved Windows 11’s X86 emulator, whether Parallels has made improvements in the latest version, or whether Smokeball has revised its code over the last few iterations. It is probably a combination of all three. In any case, it does work. Smokeball cannot run as a “native” app on M (ARM) based Macs because Apple does not support Boot Camp, which allows for dual booting a Mac into Windows. Apple has not given any indication that they intend to continue supporting Boot Camp. For now, all you need is a copy of virtualization software such as Parallels or VMWare Fusion. You can create a Windows virtual machine, and install Smokeball as you would on a normal Windows-based computer. Smokeball’s web-based app has been substantially revamped which means you have access to more features

Days in stage for all stages

I’d like to find a report showing the complete history of days in each stage to identify bottle necks. I want to see the beginning and ending dates for every stage for matters. Is this possible?

Leads/Prospects Where are the referral sources

In advance, I’m brand new - thank you for your help. We have new leads/prospects who have not converted to a Matter. Referral sources are added to the original entry of the new lead if available. When I get the task to send a thank you note to the referral source, I can’t find the referral source information on the lead/prospect. Where do I find it?

Payment Report

Is there a report that can be run to show payments made for a specific matter over a specific period of time? For example, I need a list of payments made for a specific matter in 2024. If I run either the Accounts Receivable report or an Account Statement for 1/1/24 thru today, they do not include payments for invoices issued in 2023 but paid in 2024.

I have just started using smokeball's client intake forms. It looks like an awesome feature! I was wondering whether there is anywhere I can download more pre-made intake forms? For example, forms that would ask for all of the information needed to prepare court documents.

Outlook Archive Error

Log output from Outlook after it tries to archive the email. The memory location and encryption key is hidden. Good evening, I am having issue while trying to archive my Outlook email. I am getting a syncing error and I have attached the photo of the log. My guess is when the email is referenced in SB, it reaches into Outlook and pulls the information from there. My assumption would be that the property name is for cross referencing matters to outlook items. My reading of the log (I could be wrong) shows Outlook tries to archive the email, and it sees some kind of xml tag that associates that email with the Smokeball.ActivityTrackingId field. This is a huge assumption here, but it seems like when Outlook (or whatever program compressing the files) sees an unknown property in the xml, Outlook does not allow the email to be archived. I have a log file that is about 8.7k instances of this issue, and they look like they are emails related to different matters within SB itself. I am current

Reports - Unbilled time and disbursement summary with MATTER DESCRIPTION

I am wanting to do an unbilled time and disbursement summary report instead of the full detailed report (which came out at 100 pages) but this summary report does not give the MATTER DESCRIPTION and as we have several clients with more than one file we can not see which matter the fees and disb relate to (apart from checking each file number). Is there another report that I can do that can give me what I want - I have failed to find one so far.

Email reply is blank

One of the attorneys in our office is having an issue where she replies to a client’s email (connected to a matter), but the response that the client receives (and I am copied on) is blank. Her signature doesn’t even pop up. She had a response typed out and it was there when she hit send. I’ve seen it on two different matters so far. Any ideas? Thank you!

Docusign

Smokeball appears to integrate with Docusign as shown here; https://www.smokeball.com/features/legal-efiling-electronic-signatures But I can’t find a way to integrate Docusign. Perhaps its only available through Infotrack (which is not available in my state). Help?

Lead Intake Form Reseting

We have created Lead Intake forms for use on our website, and we have created one for our internal use for creating new leads from phone calls. The problem is that once the form has been completed, it does not “reset” for future use, or if we partially fill it out without submitting, the filled out fields remain until manually deleted. Is there a way to create a Lead Intake form that can be reused on the same computer without having to remember to open an Incognito Tab every time?

Client Portal Communicate

Hello! I am an estate planning attorney wishing to use the Client Portal to send executed documents to Clients. I can create the initial message with the files for download through the portal. The initial e-mail is then sent to the Client. However, if I add additional files, it does not send a new e-mail to the Client to let them know there are new files available for download. Further, there is no function that I can see to send a ‘reminder’ e-mail to clients to download their documents. If anyone has any insight, I would appreciate it. Thank you!
