General Q&A

I have two unrelated questions.  My first questions is related to “tasks.”  Is there a way to print my task list? Secondly, is there a way for Smokeball to be automated that when I client is within a certain amount of their retainer, a “red flag” comes up on that particular clients matter so the firm can notify the client and/or stop working on the matter? 

Just wondering if anyone uses a reMarkable Paper Tablet and then directly transfers/saves files into a matter in Smokeball? Or would we have to export the reMarkable file as a pdf to our network or a computer and then import the files into Smokeball as normal? Thanks so much.

I accidentally clicked on ‘open always’ with a program I didn’t want to be the default for opening pdfs… now, every pdf opens in that program (like I told it too, not like I wanted). Where can I change this default program?

I often move quickly from one matter to the next and it is easy to forget to adjust my billed time as I go. I used to “pop out” the Time & Expense screen and keep it on a third monitor. This approach allowed me to constantly see my billed time and make adjustments quickly without having to click through other screens. Recently, the “pop out” feature has not worked. Smokeball thinks that the tab is popped out (shows “Show Time & Expenses” button to “pop back” the screen) but the tab is no where to be found. I used to adjust the resolution of the monitor and the tab would magically reappear properly popped out. That no longer works. Has anyone else had this problem and developed a fix?

In Settings > Payment Provider, it is possible to toggle on or off “Request Stripe fee from clients for invoice payments”.Unfortunately, if I toggle it off, SB does not deduct the Stripe fee before sending the payment details to Xero. This means the Stripe fee has to be manually entered when reconciling the Stripe fee in Xero.However, Stripe definitely does deduct the fee, which means that when the payment comes through from Stripe it does not reconcile with the Xero transaction from SB.It would be great if, when the option to recover the fee from the client is toggled off, SB included the Stripe fee in the transaction that gets sent to Xero.P.S. sorry about the misspelling of integration in the subject line - I was unable to edit it out.

Just wondering if Cloud Sync for Microsoft 365 is up and running? I have this as an option in Outlook and Integrations but I am unable to to click on it to set it up. Thanks

Hi all!We recently got new laptops and I have downloaded SB to it.However, the SB ribbon that used to be there in order to sync my emails in Outlook to a SB matter is now gone.I believe it is an “add-in” through Outlook. However, everything I have tried (I.E.: trying to add the add-in through “options”, “add-ins”, “COM Add-ins”, etc.) has not been working. Appreciate the help! Thank you!

Is there a way to adjust how quickly the notification for a message disappears and moves down to either internal or external discussions? We use messages for internal communications and sharing of drafts almost exclusively. I want to be able to quickly look at a message from a teammate and determine if I have to address now or later. Unfortunately, the messages always disappear once I view them  - even for 2 seconds -- and then I have to remember what file it was that I saw it on and go find it and that kind of defeats the whole purpose of having this tool, in my mind. I want to reduce my inbox by having these communications here, but I can’t keep them where I want them!

Has anyone learned how to backup your smokeball documents/data to a local server? 

I have some matters where I need to create an invoice that just covers the disbursements on the matter, and no time and fees.  Time and fees are invoiced later.  Is there a way I can create an invoice which picks up only disbursements?

I use the Communicate / Message tool with as many clients as will cooperate. I appreciate the ability to verify if a client has seen a message with a time/date stamp.Can my clients see if I’ve read their message with a time/date stamp?

Does anyone know how to sync google calendar with the SB calendar? 

I know this is probably just a basic question but I can’t figure out how to search all matters by matter tag.  We tag client matters by clients with several net worth categories across several matter categories with the same tag.  How can I get a list of matters across matter categories with that tag?  Do I have to search by each individual category? If so, how do get a list of all matters in a matter category that have that tag?  Any help would be much appreciated!

Hi there, Our team are currently working on a document which everyone is contributing too. We have experienced an issue where the document formatting (numbered paragraphs) is presenting as normal for everyone - except one user. When that user opens or views the document, the numbered paragraphs are out and extra levels of numbers are inserted. We have tried duplicating the document, saving a new version and retiring the old version, but the same issue occurs but only for that same user. Obviously, potentially a very concerning issue as this user needs to work on the document, but were unsure as to what will happen if they make substantial changes whilst operating with a different format.  Has anyone else experienced this?  I will be raising a support ticket as well. Thanks all  

Is there a way to print a contact? I frequently want to give a client a referral to another professonal and would like to just print out the contact info and give it. But i cannot see how to do that. I was able to do that easily with Time Matters, my former system. TIA! Tim Loff

Can I have my time automatically tracked when I am in adobe?  I know SB tracks word, or excel… so can it do adobe? 

how do i add multiple property details? i have 3 different properties but when i go to create the documents it will only show property 2 ? 

Is there a way to take my tasks that are already saved in Smokeball and sync/export them to outlook?

I haven’t heard of this program before and their website is fairly limited on what it shows it can actually do, I am still confused.I wanted to see if anyone here uses it already or has had experience with Zapier?Many thanks,Sam

I'm fairly new to Smokeball, but experienced with a variety of CRMs. I'm looking for deeper explanations than I've found in Smokeball support. For example, besides the last date a matter was touched, what other filters are applied to the "Matters with no activity" widget? If a matter is in a dormant stage, will it continue to show up in the list? If so, the widget isn’t useful for this estate planning practice. Is there another widget that might be more helpful?

I was hoping to  set up a Task with a recurrence similar to the way you can set a recurrence schedule with an Event. Is this a feature Smokeball has and I can not find? 

I came to my law firm as a CRM junkie and, bless my coworkers’ hearts, they are not CRM junkies. They are attorneys and business managers and support staff. The task categories that they’ve created and continue to create are a mess. My question is two-fold:Is there a way to edit, especially delete, task categories? If so, step-by-step instructions would be much appreciated. Is there a way to “lock down” this function so that only a super admin will have the ability to create task categories? If so, again, step-by-step instructions would be much appreciated.Finally, if either question’s answer is no, where can I go to propose the update to Smokeball?Thanks so much!

when I run a bill it is not generating the description area from smokeball. For some reason it is not appearing on the bill. Is there a way to fix that? 

Hi, I’d like to be able to modify and insert client field codes in my Word documents without having to include them at the precedent level. I customise my precedent Wills and letters of advice significantly to be tailored to my client, and I am not finding this process as easy to do using Smokeball as it was with LEAP.
