Change Return Email Address When Sharing Documents?


I shared a document with a client.  He had trouble opening the file.  He tried to reply to me--unsuccessfully, because the return email address was mail@signin.communicate.smokeball.com instead of something associated with my firm.

Can the return email address be changed to match the email address of the Smokeball user who is sending the message?

Hello Micah,

When attaching or sharing a file through the Communicate Message feature in the portal, it will send an auto email saying that a document has been attached/shared to the portal. There is no option to change the sender on the automated email.  However, if you are attaching a file, you can send using a secure link from your email so that the reply will go to you.

Thanks, Sara.  We are sending documents though Smokeball intentionally rather than email for security reasons.  We are also doing so to take advantage of e-signing.  So sending via attachment is not really an option for us.

Nor is it practicable for us to send when the “sender” on the email that our client receives is “Smokeball”.  They have no idea who Smokeball is and assume it is spam.  Just a half hour ago I had a client yell at me for not sending something to him.  “Um, actually, take a look at your email from such-and-such a date”.  There it was--but he’d ignored it because he did not recognize the email address.

So if you could ask the developers to change the “from” address, that’d be great.

Hi Micah,

Sending from your email using the Secure attachment option is functionally the same as sending just via the Communicate Client Portal.  The documents are not on the email.  It is a link to access their portal.  They still need to enter credentials to get into the portal and access the documents with the same level of security.  However, I will pass along your feedback.

@MSINDC When sending something to a client via the Communicate Client Portal for the first time, consider also sending an email directly from you that let’s them know a notification email from Smokeball is coming with some information (there’s also a support article designed to send to clients) on what that email looks like and how to use the portal. Also consider adding the information to check their spam folder for said notification email. If the client is using a business email, the notification is much more likely to go to spam. Gmail can also be finicky with sending those notification emails to spam.
