I have generated a client-full list report using the broadest categories to show me all the clients in the past year. I have checked this list against the open and closed matter list and the client-full list report seems to be randomly missing entries for clients. I have tried to rerun the report multiple times and I get the same results. I have confirmed the clients missing on the report are listed as clients in their respective matters. I’m at a loss.


The online support article doesn’t cover how to troubleshoot this issue. Any guidance would be greatly appreciated. We are just trying to get a client list with all their contact information. While you are at it, if Smokeball can allow the export feature to Excel not merge cells randomly, that would be really helpful. This prevents us from being able to sort the information.

@Premier Legacy Law by reading your narrative it is not clear to me what methods you used to obtain the problematic report. I use the SB Desktop application > “Reports” Tab > “Client - Full List” Report. Perhaps you are doing the same. In that report there are the fields “Date Opened From” and “Date Opened To”. I suspect that those fields reference matter open dates and not client contact creation dates. If so, you may need to change the date ranges to obtain the client contacts you are looking for.

Can’t help on the missing client issue, but when exporting out of SB (regardless of the report), use the .csv file option if your intention is to manipulate the data fields.  It’s essentially Excel and isn’t fraught with merged cells, wrapped cells,  etc.


@JG3 on a related note, the last change log includes a snippet regarding Power BI connector for Smokeball. I have a support ticket open on failure to load the larger tables. Once that is fixed, I expect that will become the primary way that I manipulate SB data for reporting purposes. I am particularly looking forward to using it to synthesize our A/R from SB and A/P from QBO to produce instant financial reports (assuming all data entered as current as possible).

Date Opened relates to the date the matter was opened.  To assure you get all clients for curretnly open matters, I recommend moving the date opened back very far.  Just type over the 2024 and put in something like 2010.  Set the matter status filter to open.  Let me know if this helps.
