Job Description: Law Firm Billing Manager
Salary Range: $85,000-$100,000
Position Overview
The Billing Manager will be responsible for overseeing all aspects of billing operations within our law firm. This includes the preparation, review, amendment, and issuance of client invoices, as well as managing the collections process in collaboration with supporting staff. The Billing Manager will ensure that billing activities are conducted efficiently, accurately, and in compliance with the firm’s policies and client agreements. Proficiency with Smokeball billing software is essential for this role.
Key Responsibilities
- Invoice Management:
- Generate accurate and timely client invoices using Smokeball software.
- Work closely with partners to review and approve invoices, ensuring they reflect the provided legal services accurately.
- Make necessary adjustments to invoices based on feedback from partners or clients.
- Ensure that invoices are sent to clients promptly and through the appropriate channels.
- Collections Oversight:
- Oversee the firm’s collections process, ensuring timely payments and follow-up on outstanding invoices.
- Work with designated staff to monitor accounts receivable and implement strategies to reduce payment delays.
- Handle sensitive collections issues diplomatically, maintaining positive client relationships.
- Financial Reporting and Analysis:
- Generate regular reports on billing and collections for senior management.
- Analyze billing trends and identify opportunities for process improvements.
- Compliance and Coordination:
- Ensure billing practices comply with legal and ethical standards.
- Coordinate with other departments to resolve billing discrepancies and client queries.
- Team Management:
- Oversee and support staff involved in the billing and collections process.
- Provide training and guidance on the use of Smokeball and billing best practices.
Required Skills and Qualifications
- Bachelor’s degree in Business Administration, Accounting, or related field.
- Minimum of 5 years of experience in billing and collections, preferably in a law firm environment.
- Proficient in Smokeball billing software and Microsoft Office Suite.
- Strong understanding of legal billing and collections practices.
- Excellent communication and interpersonal skills to interact effectively with all levels of firm personnel and clients.
- Proven ability to manage and prioritize tasks in a fast-paced environment.
- Detail-oriented with a high degree of accuracy in work product.

This is a full-time position that offers a competitive salary and benefits package. The Billing Manager will report directly to the firm’s Director of Finance and will play a critical role in maintaining the financial health of the firm.
