We are new to Smokeball .. does anyone use "workflow"? has anyone created their own unique Workflow for their firm's specific case flow structure

@Kelly Giatas - Yes, I use workflows for highly routinized matters. In my U.S. context that is decedent’s estates, evictions, and leads. I use them to pass responsibilities back and forth between myself, the person assisting me (paralegal), and the bookkeeper. I include links to document templates in the workflow tasks to get to them more quickly. Each step triggers on completion of a prior step or at a certain number of days from file opening etc. My largest workflow has 20 tasks in it.

For other matters which have repeatable variability you can create workflows to add manually to the matter (instead of on matter creation). You can also share workflows by export and import. Attached is a somewhat silly example for closing a file. Hint - you can have more than one workflow apply to each matter.

We set up workflows for routine procedures to ensure consistency across the firm (and when new personnel come in). For example, we have a workflow for “Receipt of Opposing Party Discovery” where we set out the steps to follow, starting with step 1 - calendar response date, step 2, send discovery to client, etc. up through last step - set Teams conference to review final product with client for authorization to send to opposing party”.  While this is something very basic, it helps to make sure nothing falls through the cracks and is handled consistently.
