Safe Custody register (records of documents registered on Contacts, not for Matters)

This is a really interesting feature. Is it available only for Australia? If so, is there a plan to add this feature to the US as well? 

 

It would be so useful for estate planning clients, or business clients, to keep all the “official” executed documents associated with the contact (as if it was that client digital binder) so that they are easily accessible when a client has several matters opened with the firm (instead of keep moving/copying the “executed documents” from matter to matter).

We aren’t planning on releasing the Safe Custody feature in the US product, the reason being this feature is reflective of a specific service and custodial duty that AU attorneys provide for their clients. If US attorneys provide similar services, please let me know.

We do want to build the ability to store files like documents on Contacts though, precisely for this reason. Can you answer a few quick questions for me?

  • How many documents would you, on average, store on a Contact? Can you give a few examples (ex. birth certificate, copy of passport, etc.)?
  • Other than a place to store the file and searchability, is there any additional functionality that would be helpful when storing files on Contacts (ex. numbering system, sorting on columns, upload date data, etc.

How many documents would you, on average, store on a Contact? Can you give a few examples (ex. birth certificate, copy of passport, etc.)?


It will depend: for individuals, the final signed version of their estate planning documents + amendments (so anywhere from 3 to 10-15 files); for businesses, the corporate docs such as bylaws, resolutions, stock ledger, annual minutes, etc (so anywhere from 5 to dozens depending how long the business has been operating). 

Other than a place to store the file and searchability, is there any additional functionality that would be helpful when storing files on Contacts (ex. numbering system, sorting on columns, upload date data, etc.

not sure, definitely sorting on columns, maybe folders to organize files

Hi Sam - i am jumping on here to let you know that we would also like to have a separate documents tab attached to the contact card.  Our firm does not hold any safe custody at the present time, however we could in the future.  Unit then, we do have a number of documents that relate to clients rather than matters - ie

  1. VOI documents
  2. Company searches
  3. Trust Deeds

Just to name a few - we find it cumbersome and time wasting to find the VOI docs or the Trust deeds on other matters.

We don’t need numbering systems, but upload date and staff responsible uploading the documents ability to add a title to the document
