Question

Limited Access to Reports for Bookkeeper?

We use a contracted bookkeeper who, in turn, uses Quickbooks Desktop.  We are not sold on migrating to QB Online, having heard many horror stories and having a desktop file with over ten years of data.  Does Smokeball have a limited access feature whereby our bookeeper can run and download reports to track income and expenses and import the data into Quickbooks?  She has no need to access any other features.  Thanks.

Hi @cetinsc

With Grow & Prosper tiers, the firm owner can set permissions so that the bookkeeper can only access reports. To set this up in Smokeball, follow these steps:

  • Go to firm settings
  • Select Staff & Users
  • Locate the Bookkeeper’s account
  • Uncheck all other permissions and ensure that only reports is checked.
  • Select Save

Note that this gives the Bookkeeper access to all reports as we do not have permissions that control specific reporting at this stage.

Smokeball auto-syncs transactions with Quickbooks so she will not need to manually move data to Quickbooks.

Thank you.  My question was a bit different, however: Must we pay for an additional seat to allow our bookkeeper - who will not be handling any substantive legal matters - to simply access and download reports for accounting purposes?

Hi @cetinsc

Providing a bookkeeper a log in to Smokeball uses a license/seat no matter how little they are using the platform. I would advise contacting your account manager to discuss options.
