Contacting clients regarding billing software change.

Does anyone have a template we could use to inform our clients before bills go out about us changing billing software and making the change to Smokeball?

We did not send a blast message that invoicing will look different.

 

However, in the first of the mailed invoices, we inserted a colored slip of paper, with our logo, that read:

“You may notice that we have upgraded our invoice to provide an easier-to-read format and clearer billing details.  We’ve also provided a QR code should you wish to pay by credit card.   As always, please contact our office should you have any questions regarding your bill.

Thank you for choosing ________________ for your legal services.

 

For emailed invoices, we repeated much of the same language in the initial email message.

Hello!

Another good option would be to adjust the billing email template that gets sent out along with invoices to include a portion informing them of the billing change.

At some point, you would just want to remember to go back to the email templates and remove that portion once you feel enough time has passed to inform everyone.
