2 emails for 1 client - home and business - how to have only 1 populate emails

I work with many professionals in their professional capacity and also in their individual capacity. They have professional and personal emails.

I do not see a way to add 2 different emails for the same contact and choose 1 as the primary to populate the email dialogue window.

What am I missing?

Hey there ​@mkk - you can save multiple email addresses into the Email field by utilizing semi-colons, but you lose the ability to parse those values individually in, for instance, document automation. We do hear this feedback and we are keen to support this however.

Would 2 email fields (1 personal, 1 business/professional) solve the problem for you? Do you find that some individuals have more than 2 emails you want to save and reference? Are there logic rules you can apply to which email you would want to default in certain situations, or is this entirely context-dependent (ex. which email do you want to show when initiating an email from the Contact if multiple exist?)

2 email fields would solve the problem for me if I could select one as preferred.

 

I have also discovered that in estate plan/settings, I can add people (financial advisors/cpa) to the matter and I’ve done this so that when I’m emailing docs out, I can link them in easily.

I wish I could change the entire EP settings for work to include routine people we work with in EP (financial advisor, cpa, other attorney, court)

Lastly, I’m significantly disappointed that the new email system using AI does not allow for attachment of docs in PDF form, without actually saving them as PDFs. One thing I enjoy about your software is when I attach docs via outlook/linked matter, I can chose a PDF attachment.  Significantly limits my desire to use  your email systems only.

@Sam King the issue described in the original post is something the firm I work for experiences as well. As Smokeball introduces new features, such as the Contact Picker, the workarounds either diminish or get more complex, and adding another email field to a contact card with the ability to select one as preferred would not solve issues on a larger scale as related to contact card setups and how those setups function throughout Smokeball.

 

I would suggest that more than one email field be made available in contact cards, but instead of being able to mark one as preferred, the list of parties to select from when generating an email include individual instances of a party with each email address. For example, if John Doe has two email addresses, the list of parties would include an instance of John Doe with the first email address and a second instance of John Doe with the second email address.

 

The functionality described above keeps the system flexible across the user base to accommodate different ways different users work within Smokeball. Users will not likely be confused on which instance of the party to select in any given matter for several reasons including difference in domain names across email addresses. Of course, email addresses would need to be added to the information that is visible when selecting parties for an External Matter Conversation, but that would be a great addition even if multiple email address fields are never added to contact cards.

 

I could also see how multiple email address fields that aren’t further drilled down with conditions such as “preferred” or any additional standard drill down labeling would keep automation flexible as well. I would think a field that functions like relationship fields (with zero formatting by default in the field) would also be flexible to allow users to enter whatever label they need to identify each email address as some users may want to add, “use this one” or something similar if they really need a prompt to remember which email address to use.

 

I just thought I would add another point of view to the thread if this were something that is actively being investigated for development and implementation.
