The product team at Smokeball is looking to improve the reporting capabilities and other features related to leads, referrals, and marketing analysis. Are there new reports you would like created or existing ones you would like amended? Do you have ideas regarding how to improve our leads, referrals tracking, or marketing information currently captured in the program? We want to hear from you!

As per a prior post of mine, it would be nice to have a provisional grade for leads. Ex. Lead says, “Do you take payment plans” or “Do you offer free consultations” get a low grade for potential lead.

Report and Dashboard item for Average time to initially respond to leads by user / matter type.

Perhaps add a “Case Detail” section to the lead with some fields to include: 

  • Date Responded to Lead
  • Retainer quoted Date
  • Retainer Type
  • Retainer Amount
  • Contract transmitted Date
  • Contract Signed Date
  • Retainer Paid Date

Dashboard or Report could be used to catch items from “Case Detail” which are not complete or leads which need closed.

Add feature to allocate lead to multiple staff or attorneys for follow up. In our firm we have multiple attorneys who do different case types. This leads to staff talking to attorneys instead of inputting the data into the leads. This inhibits user adoption of the lead portion of Smokeball.

Report for time spent on leads which are not converted versus those which are broken down by matter type or attorney.

Add feature to convert or transition from a phone message to a lead prompt. This would allow staff to start in one place to gather all information from callers.

P.S. In addition, it would be great to be able to select either general matter types (as you can currently) OR, select a matter sub-type. Together with this, it would be even better to be able to specify standard minimum retainer amounts and types for that matter sub-type.

Imagine, staff receive a phone call and they start with a phone message. Staff realize this is a new lead so they convert the phone message to a lead. They gather some information and select the matter sub-type. The lead screen states what the minimum retainer amount and type is for that matter sub-type. Staff says something like, “Typically the attorney/firm charges $x minimum for a matter of this type. Are you interested in speaking with an attorney knowing that?” Moving this entire process into leads with the changes mentioned in the other post would save a great deal of time.

Have a field for Incident Date like the matter.  This way, we can have the date populate in retainer agreements and other pre-matter documents.

When creating a lead, it would be helpful for said lead to pre-populate with the default matter document folders….then, upon “graduating” to a matter, those same folders to NOT be automatically added AGAIN, which creates duplicate folder/names, one with contents from the lead and one brand new and empty, with the same name, that we then need to clean-up/delete.
